Dear Amir,
For the virtual presentation, we will play your recorded presentation video at the workshop, followed by a live Q&A session. We will provide more details about the live Q&A later.
Please prepare a 15-minute presentation video and send it to us by September 23. We are asking for the video a few days in advance so that we have enough time to check for any potential issues with the recording.
If you have any questions, please let us know.
Best wishes,
Young-ri and Bryan

Dear Amir,
Regarding the virtual presentation, we are still checking with the hotel to determine how it can be supported. Once we have more information, we will let you know.
Regarding registration, every accepted paper must be covered by at least one full workshop registration (ACM or non-ACM, i.e., non-student), even if the authors are unable to attend in person. Registration for the main SOSP conference is not required. Since this requirement applies per paper, the full workshop registration can be made by any author of the paper. It does not need to be the first author or presenter.
Best wishes,
Young-ri and Bryan

Dear HotStorage Chairs,
I hope this email finds you well.
I have a follow-up and a question regarding the recent email we received.
First, I wanted to follow up on the status of a virtual presentation in our case. We would like to know whether a virtual presentation would be acceptable and, if so, whether you could provide us with any instructions or requirements for arranging it.
Second, I wanted to ask about the SOSP policy stating that every accepted paper must be covered by at least one full (non-student) workshop registration. Given our circumstances, we may not be able to travel at the time of the conference, so we wanted to ask whether it would be possible to register for HotStorage only instead of SOSP. Additionally, does the main author need to be registered? As the first author, I am unable to travel at all, so we would like to clarify whether we are still required to register even if we will not be able to attend the conference in person.
Thank you very much for your time and guidance. We greatly appreciate your help in clarifying these matters.
Best regards,
Amir

Dear Young-ri,
Thank you very much for your response. We truly appreciate your understanding.
We completely understand the importance of having papers presented in person and want to make every effort to meet the conference's expectations. Unfortunately, the co-authors of our paper are unable to attend the conference and present the work in person due to personal/family circumstances. While we are still looking for another attendee who could present the work on our behalf in person, we would greatly appreciate it if you could discuss the possibility of a virtual presentation in our particular case.
We would, of course, be happy to follow any requirements or arrangements you may have for a virtual presentation.
Best regards,
Amir

Dear Amir,
Congratulations on the acceptance of your paper.
We completely understand your concerns regarding the current U.S. visa and immigration situation, and we appreciate you letting us know.
To help us maintain the quality of the technical program, we would encourage an in-person presentation whenever possible. If you are unable to attend, we hope that one of your co-authors may be able to present the paper on your behalf. If that is not possible, another attendee of HotStorage 2026 could also present the paper for you.
If none of these options is feasible, please let us know. As a last resort, given the circumstances, we will discuss the possibility of a virtual presentation with the organizing committee and get back to you.
We hope that one of the in-person options will work out, and we appreciate your efforts in finding the best solution. Please keep us updated on your plans.
Best wishes,
Young-ri Choi and Bryan S. Kim

제목: [Hotstorage-chairs] Seeking Guidance on Presenting Our HotStorage’26 Paper
Dear HotStorage Program Chairs,
I hope this email finds you well. I’m writing to seek your advice and help regarding the presentation of our paper at this year’s HotStorage conference. Due to the ongoing U.S. visa and immigration issues, many international students, including myself, are currently at a high risk of being unable to re-enter the country if they travel abroad. As a result, our university’s visa and immigration services strongly recommend that we avoid international travel until the situation is resolved.
Given these circumstances, I wanted to ask what options might be available for presenting our paper. We are currently looking into whether one of the other authors may be able to attend the conference and present the work in person, but I would also greatly appreciate your guidance on how we should proceed given my situation.
As I’ve seen at other conferences in the U.S. and elsewhere, there is a growing number of speakers who are unable to travel due to visa-related issues. I imagine HotStorage may also be encountering similar situations this year, and I would greatly appreciate any advice or accommodations you may be able to offer.
Thank you very much for your time and consideration. I look forward to hearing from you.
Best regards,
Amir
