[Hotstorage-organizers] HOTSTORAGE'26 | Budget Concerns | Follow up

Hi Tendo,
Thank you for the detailed response and recommendation! We totally agree that it would be clearer if a workshop could either be fully incorporated into the main conference structure or operate independently, and we will consider the recommendation seriously for future events. I’m copying Ashvin, the Chair of HotStorage Steering Committee, so that we are all on the same page.
Regarding the current ‘unusual’ situation, I’m attaching the hotel agreement for reference. Could you/ACM help review the agreement to determine what flexibility might be available regarding the dinner commitment? If there is any flexibility and if ACM approves, we’d be happy to communicate with the hotel directly (and copy you) to explore the potential cost reduction.
Meanwhile, we will continue to secure additional sponsorship and look for opportunities to manage expenses as suggested. Thanks again for the clarification as well as the generous support!
Best,
Travis Janssen & Mai Zheng,
-HotStorage’26 General Chairs

Subject: Fw: HOTSTORAGE'26 | Budget Concerns | Follow up
Hi Travis and Mai,
Thank you for your patience while I reviewed the HotStorage budget structure with the ACM Budget Coordinator and my supervisor.
The current arrangement is somewhat unusual for an ACM workshop, as HotStorage is operating partially within the SOSP conference structure while also maintaining responsibility for a portion of its own expenses. Typically, we would recommend that a workshop either be fully incorporated into the main conference budget or operate independently so that its income and expenses can be managed and tracked separately.
With that context, I’ve responded to your questions below:
Can we waive the registration fee for the keynote speaker, which would save approximately 400 EUR/$463?
The registration fee is established as part of the SOSP registration process, so this request would need to be discussed with the SOSP leadership. ACM would not independently make the decision to waive the fee.
If we are unable to cancel the dinner, is there a possibility for ACM to cover the expense, particularly since participation may extend beyond HotStorage attendees?
ACM does not separately fund conference or workshop expenses outside of the applicable conference/SIG budget. Given the concern about participation, I would recommend exploring whether there is a practical way to identify HotStorage participants and limit the dinner to those attendees. We can also review the hotel agreement to determine what flexibility may be available regarding the dinner commitment.
If HotStorage ultimately operates at a deficit, are there contingency funds or prior-year HotStorage funds that could be used to cover the shortfall?
If the workshop closes at a financial loss, the deficit would ultimately be absorbed by the SIGOPS reserve fund. While that provides a mechanism for addressing a final shortfall, you should continue to look for opportunities to manage expenses and secure additional sponsorship so that you can minimize or avoid a deficit where possible.
For future years, if HotStorage plans to continue its relationship with SOSP, I would recommend revisiting the financial structure. Ideally, HotStorage would either be fully incorporated into the SOSP budget and planning process or maintain sufficient independence to allow its revenue and expenses to be budgeted and tracked separately. Either approach would provide greater clarity for the organizers and make it easier to manage the workshop’s financial commitments.
I hope this provides some clarity. We are happy to continue working with you on the current budget and available options as you finalize plans for HotStorage 2026.
Best,
Tendo

Subject: Re: HOTSTORAGE'26 | Introduction & Resources
Dear Tendo,
Thank you for the great help! We noticed a potential budget issue and would like to consult with you on how best to proceed.
As you probably know, HotStorage’26 is co-located with SOSP’26, and the registration fees go to SOSP for covering the cost on Sept 29 (the date for all 1-day workshops at SOSP). Different from all other SOSP workshops, HotStorage’26 is 1.5-days, and we need to cover the cost of the extra half day (on Sept 28) ourselves.
The only source of income for HotStorage’s cost on Sept 28 is sponsorship. At this point, we have three confirmed sponsors (Future Wei, Samsung, Google) who will contribute $7000 sponsorships in total. While we are still working on attracting additional sponsors, it’s possible that we will only have $7000 in the end.
The current contract with the hotel will cost about 4419 EUR ($5,117.93), including a dinner 1960,00 EUR ($2,268.86). Considering other mandatory costs including the keynote speaker (registration, international travel reimbursement, and honorarium) and T-shirts, we will likely run into a deficit.
Therefore, we would like to explore if it is possible to cancel the dinner (which would save us $2,268.86). Besides the cost, there is another practical issue about the dinner: SOSP’s registration system does not differentiate different workshops. As a result, there is no way to track if an attendee is registered for HotStorage or other workshops. So in theory anyone registered for any workshop (there are 9 workshops in total) could “officially” attend the dinner ...
Since all contracts should be negotiated directly by ACM, we would like to bring this to your attention and seek your guidance on cancelling dinner. In addition, we would like to learn if there is any additional support ACM could provide to help, e.g.:
* Can we waive the registration fee for the keynote speaker (which would save us 400 EUR/$463.32);
*
If we cannot cancel the dinner, is it possible for ACM to cover the dinner (given that the dinner will practically be open to a broad ACM community)?
*
In the worst case that we run into a deficit, are there any contingency funds (e.g., savings from previous HotStorage events?) that we could leverage to fix the deficit?
Thanks again for your help! If there are any other suggestions or any other information is needed, please let us know!
Best,
Travis Janssen & Mai Zheng,

Subject: HOTSTORAGE'26 | Introduction & Resources
Hi Travis, Jalil, and Mai,
I wanted to take the time to introduce myself. Although you may interact with several members of the ACM staff, I will be your point of contact at ACM handling operations and finances for the upcoming conference.
As new conference chairs, you may not be aware of the assistance that ACM offers in helping you throughout the conference process. A great resource for an overview of this support is available through the ACM Conference Planning Guide<https://www.acm.org/special-interest-groups/volunteer-resources/conference-planning/table-of-contents>.
A few key items to take note of:
FINANCES/INVOICES: Details focused on payments and accounts can be found in the Conference Finances Section<https://www.acm.org/special-interest-groups/volunteer-resources/conference-planning/conference-finances>. Payments processed by ACM take 5-10 business days once all information is received.
CONTRACTS: Please note that as the legal and financial sponsor of the conference, any and all contracts should the conference require them, should be negotiated and signed directly by ACM. Contracts can take 2-6 weeks to review, negotiate, and approve so please keep this in mind for your planning process. Please also note, all budgets must be approved prior to contract signing.
I am here to help you make HotStorage’26 a success in any way that I can. I look forward to working with you on the upcoming meeting and am available to assist with any questions you may have.
Cheers,
Tendo Mutanda

Dear John,
Below, I am sending you an overview of the room block that we are currently holding in the system.
For the night of 28.-29.9.2026, only 1 room remains in the block, but we still have rooms available. Would you like to add any more rooms to the block for this night?
