Hi all,
While we have spoken with almost everyone individually, it’s a good time to broadcast an update about where we are in the organizing stages of HotStorage’26. We’d also like to see if it’s feasible to get everyone together for a recurring sync. Please fill this out this poll before May 4: https://linkprotect.cudasvc.com/url?a=https%3a%2f%2fwhenisgood.net%2frpjcc4z&c=E,1,EKEWkjOn9cLjCZ7qBJq_NFfTKPDLpguAWUFV11iFHTfn1p-WW_GPp1zo9roioTVvprQGE9nGXwMRNxAahK1FX9kbGoJ3o4y6PSiv_fPl-VrsbBCFVjPtGj06Uw,,&typo=1<https://linkprotect.cudasvc.com/url?a=https%3a%2f%2fwhenisgood.net%2frpjcc4z&c=E,1,7RY2e6Y_L64O6PTbQjRiTpW3GOJ88vS4ARbswQ9Y0yABFLUKlsjB8F4YdQua-AjEVNwgyB0sDw22yZVKOlWknun-aharGGPiVfeXRjGhEbhDV0Xi&typo=1>. The times listed are intended to be general - the organizers this year are spread across many different time zones, and this will help us determine if a larger sync is feasible.

General Conference Updates

  1. HotStorage’26 is officially a workshop of SOSP26<https://linkprotect.cudasvc.com/url?a=https%3a%2f%2fsigops.org%2fs%2fconferences%2fsosp%2f2026%2fworkshops.html&c=E,1,0mC8WuXxaZkqn3Fd4_xVikcUaG5EsQpnEZP831BNb2kRIYDh-OcDVYcoN12uZRm4wsGPD7mSaOA8Q9WkmJDiCnak-qSltnPXTgVpseYhy5w,&typo=1> this year, and even though that page says all workshops are on September 29, HotStorage has been approved for an extra half day on September 28 within the same venue. Status Updates by Chair
General Chairs

  1. We have applied for HotStorage’26 to be an official ACM conference, which involves filling out several forms<https://www.acm.org/special-interest-groups/volunteer-resources/conference-planning/section-1-establishing-an-acm-event>, and are waiting on TMRF approval. Once the TMRF is approved, we can get the “In Cooperation with USENIX” designation. This designation helps HotStorage get on two official conference lists (ACM and USENIX), and broadcast the conference through those official channels.

Publication Chairs

  1. ACM transitioned to a new Open Access<https://www.acm.org/publications/openaccess> publication model this year. It includes a fee structure, and we are not sure how this will impact us yet. We would like the Publication Chairs to find out for us.

Publicity Chairs

  1. The Publicity Chairs are getting access to our social media accounts to promote the conference through those additional channels.

Treasurer

  1. The ACM TMRF form required a budget projection and filling out a Statement of Understanding, which has been done and submitted.

Sponsorship Chairs

  1. Sponsorship funds need to be sent to ACM through a special account, which has been set up, and is ready to receive sponsorship money.
  2. FutureWei has been sent an invoice at Gold Sponsorship level ($3000).
  3. We have a tentative acceptance of Samsung for a sponsorship, but the level is currently unknown.

Web Chair

  1. The website<https://linkprotect.cudasvc.com/url?a=https%3a%2f%2fwww.hotstorage.org%2f2026%2f&c=E,1,dMejg7Z2t39p0qc1anJSyp766_cbG6RJUdomHgRTfzIRX51lpg819Xhtmn7hiJfccx_zQA29xvHJeaGFXKX58xLNI8YK_ANigKi3CMNHLJBO6wgEQvBqdHIP&typo=1> is up and running and shows the correct dates, banner, and organizing committee.
  2. Email aliases are functional and should include all chairs at this point. There was an update to our email server recently, so let us know if you encounter any issues here.

Local Chair

  1. Our local chair has been in contact with the venue to get an official quote for the conference room, food and coffee - we have an unofficial one, but not a contract yet. This is in progress.

Hopefully this gives a sense of where things currently are with the conference. If any of this information is inaccurate, please let us know. We look forward to meeting with you all soon, if we can find an agreeable time slot. Thanks!
-Travis Janssen and Mai Zheng
