Thank you for sending the invoicing details, so it is the same as for the conference.
I have created the offer / calculation for the workshop, see attachment.
Please send me your comments or alternatively, if this arrangement is acceptable to you, please send me the signed order back. We will then proceed with signing via DocuSign. Once the contract is signed, I will issue a proforma invoice.
Accommodation for the workshop will most likely also be handled via an online link (for now, I have blocked 50 rooms in the system for the night of 28.-29.9.2026). I will send the online link to Mr. Sojka by email tomorrow.

Please advice the set-up for the Zodiac meeting room and time of use on 28.9.2026.
Please also clarify whether and how many rooms you will require for accommodation, and who will be paying for the accommodation. For the SOSP 2026 event, accommodation is reserved only from 29.9.2026 onward.

- The main conference will be covering the expenses for the 29th and they will be in touch with you w regards to the full conference quotation. We, as a workshop, only hanwe dle the additional half day on the 28th.
- For the 28th, it is “ACM Hotstorage” which will pay for the event and not ENSTA, so it is
o halfday rental for the meeting room Zodiac
o 2 x PM coffee break for 70 persons
o Dinner for 70 persons
o AV equipment - technical equipment is charged on a full-day basis

I am indicating 50 persons throughout, and I would also include this number in the quotation. Once approved, the quotation will be incorporated into the contract. Therefore, the amounts for proforma invoices and any potential cancellation fees will be calculated based on this number of participants. It is therefore advisable to include in the contract/quotation a minimum but realistic number of participants.
Please also specify which services you are interested in on which particular days and who will be covering the costs.
The Zodiac room was planned for the event SOSP 2026 as a quiet room, so I assume that you have arranged with the organizers to use it for your workshop for the entire day on 29.9.2026, and that the rental costs will therefore be covered by the event organizer?

We would prepare the coffee breaks inside the meeting room, in the area where the bar is located. For a better idea, I am sending you photos as well as a floor plan of the room.
The section where your program would take place cannot be structurally separated.
Will you also require any technical equipment? Below I am sending you our standard package with sound equipment.

Please find attached a photo of the Zodiac room, set up in a theatre style for approximately 100 people. The maximum capacity of the room is 105 persons in a school setup (3 chairs per table) or 104–119 persons in a theatre setup (the exact number depends on the placement of the projection).
On which dates would you require the room? Would it be for the full day on 28.9.2026 and a half day on 27.9.2026? Please kindly specify.

I am Jalil, and I just joined the organizatio of hotstorage, I will be your main contact for the logistics. I am trying to catch up a bit.
I live in France which is also far from the conference venue, but at least we are on neighbor time zones.
Concerning the rooms, Zodiac seems quite nice, do you have a pictire where it is configured for 100 persons ?
Are there any other options for 100 participants that can be booked for 1 day and a half ?

let me introduce you to Mrs Pavla Kotašková, who is our contact point for the SOSP venue. She is aware about your request for extra half day on Monday Sept. 28. We agreed that Zodiac will be the best room for your workshop as you can stay there for both days and it is big enough to fit a small registration desk. The capacity of the room is 119 seats in theater setup or 50 in classroom setup. It's even possible to have a catering service there, but be aware that catering cannot be separated from seating area and will disturb the talks if they happen at the same time.
